Terms of Service

These terms are the agreement between you and Jean-Pierre Perez ("we", "us") covering your use of WhiteBoard. By creating an account you accept them.

Who can use WhiteBoard

You must be at least 18 and able to enter a contract. If you sign up for a gym or business, you confirm you are allowed to act for it, and these terms bind it.

You are responsible for what happens under your account, including everything your coaches and athletes do with the access you give them. Keep your password to yourself and tell us promptly if you think someone else has it.

What you put into it

Your content stays yours. Programs, workouts, logged results, athlete records, photos and videos you upload — we claim no ownership of any of it.

You give us permission to store, process and display that content only so far as we need to in order to run the service for you: showing it on your boards, holding it in our database, and passing what you explicitly submit to a scan through our AI provider. Nothing more.

You are responsible for having the right to upload what you upload — including consent from anyone who appears in a photo or video, and the right to record in the place you recorded.

Athlete information

Adding athletes means putting other people’s information into our systems. You confirm you have the right to do that and to tell them how their information will be handled. Our Privacy Policy explains what we do with it.

Training is your professional judgement, not ours

WhiteBoard is a tool for writing down and displaying training. It is not medical advice, and it does not coach anyone. Every program, load and progression it helps you record or draft is yours to review and approve before anyone trains on it.

Suggested loads are arithmetic on maxes you entered. AI-generated workouts are drafts. Neither knows anything about the person in front of you — their injuries, their day, or what they can safely lift. You remain fully responsible for programming decisions and for the safety of the people you coach.

AI features

Photo scans, video clipping, coaching cues and generated programs are produced by an AI model and land in a review screen for you to check, edit or discard. They are never published to a board on their own.

AI output can be wrong — it can misread handwriting, invent an exercise name, or propose something inappropriate. Treat it as a first draft from an assistant who has never met your athletes. Each plan includes a monthly allowance of AI credits; we may adjust allowances with notice.

Acceptable use

Do not use WhiteBoard to:

break the law or anyone’s rights; upload content you have no right to; upload anything that is harassing, abusive, or filmed without consent; attempt to reach another gym’s data; probe, scrape or overload the service; or resell access to it without our written agreement.

We may suspend an account that does any of these.

Trials, billing and cancellation

New accounts get a 14-day free trial with no card required. When it ends, AI features and new athlete slots pause until you pick a plan; everything already in your account stays readable.

Paid plans are billed monthly in advance through Stripe and renew automatically until you cancel. Cancel any time from the billing portal in your account — you keep access until the end of the period you have already paid for, and we do not bill you again.

Refunds: because the trial lets you try everything before paying, we do not generally refund partial months. If something went genuinely wrong, write to us at support@coachwhiteboard.com and we will deal with it fairly.

We may change prices. Existing subscribers get at least 30 days’ notice by email before a change affects them, and can cancel before it takes effect.

Availability

We work to keep WhiteBoard running, but we do not promise it will be uninterrupted or error-free. We may change or remove features. If we discontinue something you depend on, we will give you reasonable notice and a way to get your data out.

The service is provided “as is”, without warranties of any kind to the extent the law allows.

Limits on our liability

To the extent the law allows, we are not liable for lost profits, lost data, or indirect or consequential losses. Our total liability for any claim is capped at what you paid us in the twelve months before it arose.

Nothing here limits liability that cannot legally be limited — including for death or personal injury caused by our negligence, or for fraud.

Ending the agreement

You can stop using WhiteBoard and cancel at any time. We may suspend or close an account that breaks these terms, or that we are legally required to close. If we close your account without cause, we will refund the unused part of what you paid.

After closure we keep your data for a short period so you can get it back, then delete it — see the Privacy Policy for how long.

Changes to these terms

We may update these terms. For material changes we will email account owners at least 30 days before they take effect. Carrying on using WhiteBoard after that means you accept the new version.

Governing law

These terms are governed by the laws of California, United States, and its courts have exclusive jurisdiction over any dispute.
